Privacy Policy
Sterling Grid Security Ltd is the data controller for personal data collected through Shutter Pros. This notice should be read with our full group Privacy Policy, which lists every service provider, international transfer, retention period and data right.
1. Who We Are
Shutter Pros is a trading name of Sterling Grid Security Ltd, registered in England and Wales. As data controller, Sterling Grid Security Ltd is responsible for the lawful processing of your personal data across all brands within its ecosystem, including Shutter Pros, Kitchen Pros, Pergola Pros, and Plan Pros.

2. Data We Collect
We may collect the following personal data when you interact with us:
- Name, address, and contact details (phone, email) for order fulfilment and communication
- Window measurements, chosen styles, materials and other configuration data submitted as part of a quote or order
- Photographs and files uploaded to help us assess a window or prepare a quotation
- Business and trade information if you apply for a trade code
- Payment information processed by Shopify and its payment providers — we do not store card details
- Cookie choices and technical information such as device, browser and IP address where a provider needs it to deliver or secure its service
- Communications you send us by phone, email, or web form
3. How We Use Your Data
We use your personal data to:
- Process and fulfil your order, including arranging collection from Retford
- Communicate with you about your order status, collection arrangements, and after-order support
- Respond to enquiries, quote requests, and support contacts
- Secure and improve our websites and services
- Comply with our legal obligations
We do not sell your personal data to third parties. We do not make solely automated decisions about you that have legal or similarly significant effects.
4. Lawful Basis for Processing
We rely on contract and steps at your request before a contract to answer an enquiry, provide a quote and fulfil an order; legal obligation for tax, accounting, consumer and regulatory duties; legitimate interests for security, fraud prevention, service records and operational improvement where your rights do not override those interests; and consent for optional cookies, YouTube content and electronic marketing where required.
A required form acknowledgement confirms that you have seen this notice and want us to respond. We do not rely on that acknowledgement as consent where processing is necessary to provide the quote or service you requested.
5. Data Sharing
We share your data only where necessary:
- Cloudflare: Hosts and secures the public Shutter Pros microsite.
- Tally and Google Workspace: Tally hosts the enquiry, upload and trade forms. Submissions are sent by webhook to our Google Workspace lead records. Uploaded files may be held in both services while we assess your project.
- Shopify and payment providers: Provide products, cart, checkout, customer accounts, payments and store chat. We do not store card data.
- Consentmo and AccessEaze: Provide the Shopify store's privacy controls and accessibility toolbar. The independent Shutter Pros microsite uses a self-hosted Klaro privacy control and does not carry those Shopify app widgets.
- Collection and manufacturing partners: We use the contact, order and specification details needed to manufacture your shutters and arrange collection from Retford, Nottinghamshire.
- Our other trading names: Sterling Grid Security Ltd trades as Kitchen Pros, Shutter Pros, Pergola Pros and Plan Pros and applies one set of data governance across them. We do not use a Shutter Pros enquiry to market another brand unless that marketing is lawfully permitted.
- Legal compliance: Where required by law or regulation.
6. Data Retention
Enquiries, Tally submissions, delivered enquiry emails and related uploads are normally kept for up to 24 months from the last substantive contact, unless they become part of an order or are needed for a dispute. Order, invoice and transaction records are generally kept for 7 years from the end of the relevant accounting period. Tally submissions are manually reviewed against this schedule because our current Tally plan does not automatically delete them; Tally states that deleted submissions remain in its Trash for up to 90 days unless emptied sooner. You may request deletion at any time, subject to legal or contractual retention needs.
7. Your Rights
Depending on the circumstances and the lawful basis, you may have the right to access your personal data, correct inaccurate or incomplete data, request erasure or restriction, object to processing, receive certain data in a portable format, and withdraw consent where we rely on it. Some rights have legal exceptions. To exercise a right, contact us at info@shutterpros.uk. We normally respond within one month.
8. Cookies
The independent Shutter Pros microsite uses a self-hosted Klaro control. Optional YouTube videos and thumbnails remain off until you allow them, and the sgs_privacy_v1 cookie remembers that choice for 180 days. Use the "Privacy & cookie settings" button in the footer to change or withdraw it. The Shopify store has separate Consentmo controls for Shopify and installed app technologies.
9. Security
We use role-based account access, multi-factor authentication where available, HTTPS encryption in transit, reputable service providers and access limited to people who need the information for their work. No internet service is risk-free, and we review provider and access settings as part of our data-protection procedures.
10. Complaints
If you believe your data has been mishandled, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
11. Changes to This Policy
We may update this privacy notice when our services, providers or legal obligations change. The current Shutter Pros notice is published at /pages/shutter-pros-privacy-policy and the detailed group policy at /pages/sgs-privacy-policy.
